The client faced a significant operational hurdle: their reservation management system, CoverManager, and their payment processing system, Square, operated in separate silos.

As a dedicated B2B Digital Transformation Partner, Seeed was engaged to engineer a seamless, real-time bridge between CoverManager and Square. Our approach combined deep platform expertise with an agile methodology to deliver a solution that was both powerful and resilient.

The core of our solution was a custom-built integration platform powered by a sophisticated microservices architecture. This approach ensures the decoupling and reliability of transactions, allowing different parts of the system to operate independently and efficiently.

Our development process involved several key components:


  1. Secure Authentication & Onboarding: We created a secure integration portal where the client could connect their Square and CoverManager accounts via a standard OAuth 2.0 flow, ensuring all access tokens and credentials were encrypted and handled securely.
  2. Real-Time, Webhook-Driven Sync: We built the system to listen for webhook events from both platforms. When a guest's reservation is marked as "Seated" in CoverManager, a webhook is triggered automatically.
  3. Intelligent Data Processing: Our reservation-service microservice receives the webhook, transforms the reservation data, and creates a corresponding check in the Square POS system in near real-time (with a normal processing delay of under 50 seconds).
  4. Comprehensive Data Synchronization: The integration syncs all critical data points, including customer names, number of guests, reservation notes (like allergies), and pre-paid deposits, ensuring staff have full visibility in the Square POS.
  5. Bidirectional Communication: When a change is made in the Square POS—such as moving a party to a different table—our checks-service microservice detects the restaurant.check.updated webhook and automatically updates the table assignment back in CoverManager, keeping both systems perfectly aligned.

By leveraging our expertise in cloud services and system integration, we delivered a turn-key solution that was ready for the demanding environment of Off Sónar Barcelona.
